| Booking EastWind Sound
In the first instance please contact us to confirm
availability. We will respond normally within 48 hours.
This initial enquiry can be made by email, our contact form or
by telephone. Please see our Contact page.
We will send you a booking form. Please complete this form and
return to us with the appropriate payment (deposit).
Payments can be made by cheque or by cash. Final payment if by
cheque must be received 7 days prior to the event.
Please advise of any special requests such as music or dress code
within 10 days of the event.
Terms and Conditions
EastWind Sound will provide Disk Jockey, recorded music and lighting
effects to suit the occasion, with adequate equipment for the playing
and amplifying of recorded music.
EastWind Sound use smoke machines to enhance lighting effects, if
a venue does not permit the use of smoke, please notify before the
disco starts. EastWind Sound do not use strobe lighting, however
some lighting effects do flash and may cause discomfort to some
guests.
These Terms & Conditions, together with a completed Booking
Form, constitute a binding contract.
Any changes/alterations must be made in writing by the Hirer,
7 days prior to the date of the Event.
Please note we will require a strong table to place our equipment
on, of at least 6ft by 3ft.
Hirer – The person hiring EastWind Sound
Provider – EastWind Sound Mobile Discos
Venue – The location of the Event
Booking– The hiring of the Provider by the hirer, in accordance
with the Contract
Event – the function for which the Hirer has booked the Provider
1. Booking Details
1.1) no Booking is confirmed until and unless the Booking Form is
returned to the Provider correctly completed and accompanied by
the deposit.
1.2) if the Booking Form and booking fee are not returned before
the due date, the Hirer must confirm that the date is still available.
If the date is no longer available the booking fee will be returned
with no penalty.
1.3) The Provider will require adequate time for the installation
and dismantling of the equipment. It takes approximately 1.25 hours
to set up and 45 minutes to dismantle; these times must be taken
in consideration when booking a venue.
If the Hirer or Venue has special requirements for setting up/disassembly
times or times of access, the Hirer must provide these details to
the Provider prior to the booking, or additional charges may be
made.
Any charges for parking will be met by the Hirer.
2. Payments
2.1) booking fees can be made in Cash or by Cheque. Final Payment
if to be made by cheque must be made 7 days prior to the event or
by cash on the night.2.2) if the DJ is required to play on past
the agreed time, any overtime fee £40.00 per hour or part
there, payable in cash, at the time of requesting extra time. This
is subject to the conditions of the Venue, and is at the Providers
discretion. New Years Eve overcharge is £50 per 30 minutes
or part of.
2.3) if any payments are not received by the due date, the Provider
may refuse to attend the event, and full payment will still be required,
as this will be considered a breach of contract. Please contact
us if payment is to be delayed.
3. Cancellations and Postponements
3.1) in the event of the Hirer wishing to cancel or postpone the
event for any reason the booking fee (deposit) will not be refunded.
3.2) if the cancellation or postponement is made less than 15
days before the event, the entire fee will be due.
3.3) At the Providers discretion, the Provider may agree to alter
the date of the booking. Any replacement date must be within 6 months
of the original contract.
4. Conduct and Security
4.1) any damage to equipment whether it by Accidental or Deliberate,
the Hirer may be invoiced for repair or like for like replacement,
then it is the responsibility of the hirer to invoice the guilty
party to cover costs.
4.2) the Provider will conduct themselves in a proper manner throughout
their attendance at the venue.
4.3) the Provider may take photographs or video footage of the
event to act as promotional material on the web site or other marketing
material, if the Hirer has any objection please advise before or
during the event.
4.4) the client will be held responsible for any theft or damage
of any equipment.
4.5) the Hirer has responsibility to ensure the venue has sufficient
and legal security.
4.6) any abuse to the Provider will not be tolerated. In the event
of abuse (physical or verbal) the provider reserves the right to
turn down the music until the problem is resolved. If this does
not happen in a timely manner the provider has the right to refuse
to continue and the full fee is still payable. Any damages or loss
of equipment will be reclaimed from the Hirer. Any illegal behavior
may be reported to the police.
5. Health & Safety
5.1) the Hirer has responsibility to ensure the venue complies with
Health & Safety, and holds all necessary certification, Public
Liability Insurance (PLI), Public Performance License’s. The
provider holds PLI to protect the Hirer and guests against injury
sustained by fault of the Provider.
5.2) the Provider uses a variety of lights and stands. The equipment
must have sufficient space to be safe and have sufficient power
- two sockets if possible.
5.3) a suitable parking area must be available for the loading
and unloading of the equipment at the venue. Please also ensure
there is adequate access to the venue as the equipment is bulky
and heavy.
Provision of Music
EastWind Sounds carry a wide variety of music, however if you have
specific requirements these must be advised 14 days prior to the
event. However No Guarantee is made.
